Switching from Crayon or Klue: a 30-day migration plan

The real reason teams renew a tool they don't love is fear of the switch. A week-by-week plan for moving off Crayon or Klue without losing your competitive history, your battlecards, or your reps' trust.

You can move off Crayon or Klue in about 30 days if you start with an inventory, rebuild your top battlecards first, run both tools side by side for a short overlap, and cut over only when reps have what they need. The slow part is rarely the technology. It is deciding what is worth keeping.

Most teams that stay on a tool they dislike are not staying because it works. They stay because switching feels like a big, risky project. It does not have to be. This plan assumes you have already run the renewal audit and looked at the alternatives. It is vendor-neutral, and it works whichever direction you are moving.

Two honest caveats. First, public documentation on exporting data from Crayon or Klue is thin, so confirm what you can export, in what format, and by when, directly with your account team and in writing. Second, your contract governs notice and renewal, so check the dates before you plan the calendar. There is one exception to the thin documentation, and it is a good one: if you are leaving Crayon, PrismCI can import your battlecards straight from Crayon's API, covered in week 2 below.

Week 0: before day one

  • Find the renewal date and notice period in your contract, and set a calendar reminder well before it.
  • Ask your account team, in writing, what can be exported and in what formats, including battlecards, competitor profiles, win-loss notes, and historical alerts.
  • Name one owner for the migration and one executive sponsor from sales or product marketing.

Week 1: inventory and triage

List every battlecard, competitor profile, integration, and recurring report. Then mark each one as keep, rebuild, or retire. Most teams find that a small share of cards produce nearly all of the usage, and a long tail has not been opened in months. Use your usage data to decide: rebuild the top performers, and let the rest go.

  • Export everything you can, even if you do not plan to use it. It is a safety net.
  • Document every integration: Salesforce fields, Slack channels, email digests, and any dashboards others depend on.
  • Identify the ten competitors that matter. Everything else can wait for week four.

Week 2: rebuild what matters

Stand up the new platform and bring your top battlecards across. This is where automation pays off.   • Coming from Klue? A Klue-specific import is not something we have tested yet, so we are not claiming one.   • Connect the CRM and chat tools your reps already use.
  • Load your own knowledge: positioning, pricing, case studies, and win-loss notes, so answers are grounded in what you actually say.
  • Have one or two trusted reps review the rebuilt cards against a real upcoming deal.

Week 3: run both, side by side

Keep the old tool live while the new one proves itself. Compare the same competitor events in each, and check that nothing important is missing and that the new feed is quieter. Give reps one place to ask questions, and watch which one they open. Short overlaps are cheap insurance against a surprise.

Week 4: cut over and close out

  • Tell reps what is changing and where to go, with a short walkthrough and one-page cheat sheet.
  • Redirect links, bookmarks, and CRM fields from the old tool to the new one.
  • Add the long tail of competitors and retire the old integrations.
  • Send non-renewal notice in writing before the deadline, and confirm receipt.
  • Do a final export, and store it somewhere you control.

What to watch for

  • Do not migrate the clutter. A move is the best chance you will get to drop stale cards.
  • Do not cut over during a major launch, a quarter-end push, or a big deal cycle.
  • Do not skip the written export request. Verbal answers will not help you after the contract ends.
